Start with the work you repeat every week. Then ask a provider to show you how it works with a fictional family, from the first enquiry to an ordinary lesson.
This guide is written by Madrasa Desk, a provider of setup and support services. Use the same questions with us and any other provider you consider.
1. Follow one application all the way through
Can a parent complete the form on a phone? Can your team review it, keep a waiting list, choose a class and create the right accounts without copying the same details repeatedly?
2. Try your real timetable
Check weekday and weekend classes, siblings in different groups, shared teachers and term closures. A neat dashboard is useful only if it handles the way your institution runs.
3. Ask for a parent’s view
Can parents find homework and class information easily? Check that they cannot open another family’s records. See the phone view as well as the desktop.
4. Separate fee tracking from fee collection
Ask whether the system records balances or actually collects payments. If collection is included, confirm the provider, transaction fees, payment failures, receipts and how the institution receives its money.
5. Be specific about Qur’an progress
If you need Hifz tracking, demonstrate a new lesson, recent revision and older revision separately. Check the terminology, reporting and parent view. A homework box may not cover your teaching method.
6. Compare the first year, then the next
Add setup, twelve monthly payments, migration, training, domains, email, add-ons and any applicable tax. Ask what happens after introductory discounts and when your student numbers increase.
7. Ask who does the move
Who cleans the spreadsheet, configures classes and checks the imported records? Agree a sample import, staff training and a launch checklist before sending the full register.
8. Plan for support and leaving
Ask for support hours and response arrangements, hosting and backup details, and an explanation of how to export your records and end the service. Ask who can access student information and why.
Bring these five answers to a demo
- Approximate active students and staff.
- Your current tools and the task that takes the most time.
- Your class days and any unusual scheduling needs.
- Whether you need fee records or online collection.
- Your budget and preferred start date.
Organisation details are enough. You do not need to share student records to compare providers.
